Position Description

FIRE is seeking an energetic, entrepreneurial, and experienced Executive Assistant to the President and CEO with strong writing skills who will be in charge of a wide range of responsibilities. In addition to providing executive support to the President, this position will work with the Senior Vice President of Finance and Development to increase the fundraising capabilities of the department.

This position will be charged with handling confidential matters including donor correspondence, arranging networking opportunities and meetings, coordinating media appearances on both television and radio, writing emails, and, most importantly, thinking creatively and aggressively about ways to make the President more efficient and effective in executing his duties and responsibilities.

The Executive Assistant will also work closely with the President’s Research Assistant to copy edit and create written content for FIRE’s website and outside sources in order to increase both the President’s and the organization’s messaging reach.

Finally, the Executive Assistant will also work closely with FIRE’s communications team and external publisher to help promote the President’s newly released book via various planned events.

Some other daily responsibilities will include, but are not limited to:

  • Organizing daily agendas and actively maintaining the President’s schedule;
  • Coordinating speaking engagements, conferences, and fundraising meetings;
  • Making and confirming appointments with FIRE allies and donors;
  • Promoting the President’s media appearances, speeches, and print/web articles;
  • Making and preparing all travel arrangements and expense reports;
  • Assisting with writing and copy editing articles, emails, and letters;
  • Maintaining the President’s contacts;
  • Managing the coordination between the President’s office and FIRE staff, including the Executive Director, Vice Presidents, and Directors;
  • Interacting with FIRE’s Board of Directors;
  • Spearheading important, specialized projects;
  • Organizing and executing targeted publicity campaigns;
  • Making inquiries on behalf of the President;
  • Executing personal tasks for the President;
  • Working in conjunction with the Philadelphia Office Administrator to oversee the physical office space in D.C., including ordering supplies and facilitating work orders, as needed.

Under the supervision of the Senior Vice President of Finance and Development, this position will provide general support to various aspects of the development department and fundraising program. These duties will include, but are not limited to:

  • Assisting in coordinating fundraising events;
  • Conducting research on donor prospects;
  • Entering donor information, logging donor correspondences, querying records, and producing reports from FIRE’s donor database;
  • Corresponding in-person, over-the-phone, and via email with donors and allies.

There may be some occasional work on weekends and evenings and, although projected to be rare, this position may be required to be available in the event of an emergency. This position will not usually travel with the President, but some travel will occasionally be necessary.

The expected start date for this position is early August.

Qualifications

A successful candidate will have excellent organizational skills and attention to detail, strong writing skills, a good work ethic, be a self-starter, and have the ability to work independently. Most importantly, the candidate must have an eye for detail and strive for perfection when executing job functions. This position will require an eager willingness to work collaboratively on various writing projects, the ability to meet deadlines on short notice, and strong organizational skills in order to manage multiple projects at a given time. Furthermore, a candidate must be able to demonstrate:

  • Knowledge of FIRE’s mission and a willingness to advocate for that mission;
  • Exceptional verbal and written communication skills;
  • An ability to exercise sound judgment;
  • Organizational, planning, and time management skills;
  • Superior memory and attention to detail;
  • An ability to manage challenging and fast-paced situations;
  • Strong copy editing skills;
  • Superior computer and internet proficiency, including the ability to use Microsoft Office and Google suite;
  • A four-year undergraduate degree from an accredited college or university;
  • Previous work experience providing administrative and executive-level support to C-level executives is strongly preferred.

Salary and Compensation

Starting salary is negotiable and depends upon experience and education level. FIRE conducts periodic evaluations where employees may receive raises or bonuses for outstanding and excellent work.
